Privacy Policy

This policy explains what personal information J Plane Websites collects when you use this website or work with me, why it's collected and how it's looked after.

Who I am

J Plane Websites is a website design and development business based in Norwich, Norfolk, United Kingdom. For the purposes of UK data protection law, J Plane Websites is the controller of the personal information described in this policy. You can get in touch using the contact form.

Information I collect

When you send an enquiry through the contact form, I collect:

  • your name and business name
  • your email address and phone number
  • your current website address, if you provide one
  • what your business does, what you're looking for, and your message

If you become a client, I'll also hold the information needed to build and launch your website, such as content, images, domain details and billing information.

How your information is used

  • to reply to your enquiry and discuss your website
  • to provide the services you've asked for, including the website editor
  • to send invoices and keep business and accounting records

The lawful bases are taking steps at your request before entering into a contract, performing a contract with you, complying with legal obligations (such as keeping financial records) and legitimate interests in running the business. Your information is never sold, and it isn't used for marketing without your permission.

Who your information is shared with

Information is only shared with trusted service providers that help run this website and business — for example website hosting, email delivery and accounting software. They process information on my behalf and are required to keep it secure. Some of these providers may store data outside the UK; where they do, appropriate safeguards are in place as required by UK data protection law.

How long information is kept

Enquiries that don't lead to work are deleted within 12 months. Client records are kept for as long as needed to provide the service and to meet legal and accounting requirements (typically six years for financial records).

The onboarding form (/start)

When you fill in the “Start your website” form, your answers, logo and photos are used only to prepare your quote and to build your website. They're stored privately on the server that hosts this website and shared with the email and automation tools I use to manage projects. Uploaded files can only be opened through private links that expire.

You can ask for your submission to be deleted at any time by getting in touch. Please don't include passwords in the form.

The free website check

When you use the website check, the address you enter is used to load that website's public homepage and produce your results. Results are kept in memory for a few minutes so repeat checks are quick, then discarded. Your IP address is used briefly to prevent abuse. Nothing is saved to a database.

Cookies and analytics

This website doesn't use advertising or analytics cookies. Your browser may store small amounts of technical data needed for the site to work properly, such as the progress of the content checklist.

Your rights

You have the right to ask for a copy of the personal information held about you, to ask for it to be corrected or deleted, and to object to or restrict how it's used. To make a request, get in touch using the contact form.

If you're unhappy with how your information has been handled, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
